The Configure Email Window

The Configure Email window comes up when you choose "Configure Email..." from the Tools menu.

Configure email from QuickBooks

The controls on this page are as follows:

  • Name/IP: Enter the name (or IP address) of your mail server. The server must be able to accept and route standard SMTP traffic. Please consult a system administrator if in doubt.
  • Port: The numeric port on which the mail server is available. Note that the default is 25 for regular SMTP servers and 465 for servers using SSL - please specify one if these if in doubt.
  • This server requires an encrypted connection (SSL): Check if the mail server uses SSL.
  • This server requires authentication: Check if the server requires authentication, and select the authentication method. The choices are CRAM-MD5, AUTH-LOGIN, AUTH-PLAIN, and AUTH-NTLM. A login and a password will be required for all but AUTH-NTLM.
  • Login: The user name/login for the mail server.
  • Password: The password for the mail server.
  • Address: The email address that will be displayed in the "From" field of the email messages sent by ActiveBooks.
  • Name: The name that will be displayed in the "From" field of the email messages sent by ActiveBooks. This value is optional.
  • Send a test message: Click this button to send an email message using the settings you have specified. You will be asked to specify the target email address and the sequence should unfold like this:

  • Send email with Gmail
    How to use your Gmail Account

    To send email using your Gmail account, please specify the following settings:

    SMTP Server Name/IP: smtp.gmail.com
    Port: 465
    Check This server requires an encrypted connection and choose SSL/TLS from the dropdown.
    Check This server requires authentication and select "AUTH-LOGIN"
    Login: Your full gmail address (your-gmail-user-name@gmail.com)
    Password: Your gmail password
    From Address: Your full gmail address (your-gmail-user-name@gmail.com)
    From: Your name (or anything else you like)

    For someone named Robert Richards whose Gmail address is robert201@gmail.com, the Configure Email window should look something like this:

    Send email with Microsoft Office 365
    How to use your Microsoft Office 365 Account

    Note: Office 365 is only supported in ActiveBooks version 7.5 and later.

    To send email using your Office 365 account, please specify the following settings:

    SMTP Server Name/IP: pod51010.outlook.com
    Port: 587
    Check This server requires an encrypted connection and choose STARTTLS from the dropdown.
    Check This server requires authentication and select "AUTH-LOGIN"
    Login: Your full Office 365 email address
    Password: Your Office 365 password
    From Address: Your full Office 365 email address
    From: Your name (or anything else you like)

    For someone named Robert Richards whose Office 365 address is rrichards@mycompany.com, the Configure Email window should look something like this:

    Send reports with AOL
    How to use your AIM/AOL Mail Account

    To send email using your AIM/AOL Mail account, please specify the following settings:

    SMTP Server Name/IP: smtp.aim.com
    Port: 587 (or 25 if 587 doesn't seem to work)
    Check This server requires authentication and select "AUTH-LOGIN"
    Login: Your full email address (name@aol.com)
    Password: Your email password
    From Address: Your full email address (name@aol.com)
    From: Your name (or anything else you like)

    For someone named Robert Richards whose AOL mail address is robert201@aol.com, the Configure Email window should look something like this:

    Send reports with Godaddy email
    How to use your GoDaddy Mail Account

    To send email using your GoDaddy Mail account, please specify the following settings:

    SMTP Server Name/IP: smtpout.secureserver.net
    Port: 3535 (or 80 if 3535 doesn't seem to work)
    Check This server requires authentication and select "AUTH-LOGIN"
    Login: Your full email address (name@your-domain.com)
    Password: Your email password
    From Address: Your full email address (name@your-domain.com)
    From: Your name (or anything else you like)

    For someone named Robert Richards whose GoDaddy email address is rrichards@mycompany.com, the Configure Email window should look something like this:
