  1. What is ActiveBooks?

    ActiveBooks is an award-winning QuickBooks add-on that monitors your QuickBooks accounting records and emails you useful, actionable financial reports. For example, if you tell ActiveBooks to email your Profit and Loss statement to you every morning, that report will be delivered to your Inbox each day, automatically!

  2. What is a Notification?

    A notification is simply any QuickBooks information that is sent to you by email. Notifications come in two flavors - reports (emails sent at a specified time) and alerts (emails sent when something happens).

    ActiveBooks supports over 100 notifications, including:

    • A/R Aging Report: How much does each customer owe? How much of each customer's balance is overdue?
    • Open Invoices Report: Which invoices or statement charges haven't been paid and when are they due?
    • Overdue Invoices Report: Which unpaid invoices or statement charges are past due?
    • Customer Balance Summary: How much does each customer owe?
    • Payment Received Alert: Would you like to get a message whenever a payment has been received?
    • Vendor Balance Summary: What is your company's current balance with each vendor?
    • Bills To Pay Alert: Would you like to get a message when a new bill is entered into QuickBooks?



  3. What notifications are available?

    The Notifications Page describes the 100+ reports and alerts currently available in ActiveBooks.



  4. How much does ActiveBooks cost?

    ActiveBooks Starter, which supports one company file and up to 25 reports, costs $199.

    ActiveBooks Professional, which supports up to 5 company files and up to 50 reports, costs $299.

    ActiveBooks Enterprise, which supports an unlimited number of company files and reports, costs $499.

  5. What is a QuickBooks Company File?

    QuickBooks stores all the financial data for your company in a single file on your hard drive. That file is your QuickBooks Company File. It is also called your QuickBooks Data File or simply a QBW File because it is always named with that 3-character extension.

    Your Company File is created when you first setup QuickBooks for your company. It is usually named after the company it represents (e.g. "Thompson Uniforms.qbw").



  6. Can ActiveBooks work in an environment where multiple QuickBooks company files are used?

    Yes, ActiveBooks Professional and Enterprise editions will work with multiple company files. You can set up a new company file by selecting "Configure QuickBooks..." from the "Tools" menu. However, there is one wrinkle...

    When ActiveBooks needs to get at your financial data, it must talk to QuickBooks. If QuickBooks is not running, it will be started and opened to whatever company file is provided by ActiveBooks. However, if QuickBooks is already running, ActiveBooks is only able to access the one company file already open in QuickBooks. Unfortunately, this is a limitation of QuickBooks.



  7. Does QuickBooks need to be running for ActiveBooks to work? Will I need to keep QuickBooks open?

    No. ActiveBooks will start QuickBooks as needed, even when no one is logged on to your PC. Be sure to specify a Windows user account on the Configure ActiveBooks... window, available during the Initial Setup or from the Tools menu.



  8. Do I need to have Outlook (or another mail program) installed to email reports from ActiveBooks?

    No, you do not need any email software installed on your PC. ActiveBooks will compose and send all emails, communicating directly with your mail server as necessary.



  9. I have exceeded my 30 day trial! Can I get an extension?

    Absolutely! Please send an email to support@ActiveBooks.net with the details and we'll be happy to give you additional time to test ActiveBooks.

  11. How do I send a notification to multiple email addresses?

    Simply specify multiple addresses on the "To" line when creating your notification, separating each address with a comma (,).



  12. What are the various dates that can be specified when emailing a report?

    The Dates for ActiveBooks Reports page describes the dates that can be applied to reports.



  13. I recently created classes, accounts, etc. and now the data in ActiveBooks is stale. How do I fix that?

    ActiveBooks downloaded classes, accounts and other items from QuickBooks as you went through the initial setup. If those items have changed since then, you will need to repeat the procedure to get the latest information from QuickBooks. To do so, please:

    1. Start ActiveBooks if necessary.
    2. Choose "Configure QuickBooks..." from the "Tools" menu to open the Configure QuickBooks window.
    3. Highlight the appropriate company file.
    4. Click the "Change / Refresh >>" button.
    5. Follow the instructions to re-authorize ActiveBooks (the same procedure you went through to set up your company file).



  14. How do I change the account that ActiveBooks uses to log in to QuickBooks?

    You change the user account from QuickBooks, in the Integrated Applications section of the Edit > Preferences window.

  15. Should I install ActiveBooks on my own PC or on the server?

    While ActiveBooks will work wherever QuickBooks is installed, we usually recommend installing ActiveBooks on your server. Doing so avoids issues with mapped drives and other network issues.

    Uptime is another important consideration. Your server is likely on 24/7, ensuring that ActiveBooks can run your QuickBooks reports at whatever times you schedule. Contrast that with your own PC, which won't be able to email any reports when it's turned off (or disconnected from the Internet).



  16. How do I move ActiveBooks to a new computer?

    Please review this step-by-step article showing how to transfer ActiveBooks to a new PC.



  17. Can ActiveBooks email my memorized reports?

    Unfortunately QuickBooks does not allow third-party applications to directly access its memorized reports, so those are not available to ActiveBooks. However, you may be able to re-construct your memorized report directly in ActiveBooks by selecting the appropriate settings. ActiveBooks supports date ranges, filtering by class, customer, job, and much more.



  18. Can ActiveBooks save a report to a folder instead of emailing it?

    Unfortunately, no, ActiveBooks can not export reports to the file system at this time. Email is the only delivery mechanism.

    However at least one customer uses SendToDropbox to save his ActiveBooks emails in the Dropbox "cloud" and processes them from there. Maybe a similar workflow is acceptable in your situation.



  19. ActiveBooks doesn't support my report. Can you add it?

    Probably not, as ActiveBooks is constrained by the features that Intuit/QuickBooks exposes to third-party applications (via the QuickBooks SDK). However please contact us and let us know what you need - you never know!



  20. How do I find my ActiveBooks serial number?

    To find your ActiveBooks serial number (which is unique for every computer):

    1. Install ActiveBooks, if necessary. The latest version can always be downloaded from /download/ActiveBooks_Installer.exe.
    2. Start ActiveBooks. The "ActiveBooks: Registration" window will come up:

  21. I re-installed Windows (or upgraded my hardware) and my registration code is no longer accepted. What should I do?

    If your serial number changes, please send an email to support@ActiveBooks.net with:

    1. the old/original serial number (if available)
    2. the new ActiveBooks-generated serial number
    3. your order number/details

    We will respond with the new registration code.



  22. How do I move my registered copy of ActiveBooks to another computer?

    The registration code that was sent to you will only work on the computer on which you performed the registration process. If you wish to move ActiveBooks to another computer, please send an email to support@ActiveBooks.net with:

    1. your order number/details
    2. the ActiveBooks-generated serial number of the old/original computer (optional)
    3. the ActiveBooks-generated serial number of the new computer

    We will respond with the new registration code.



  23. I see that you have a new version available. Do I have to pay to upgrade?

    When you purchase ActiveBooks, your license is valid for any version with the same major version number or the next. For example, if you purchased version 14.2, you are eligible to use (free of charge) any version 14 or version 15 release, but not a version 16 release.

    As always, those paying to upgrade from a previous version are eligible for a 50% discount. Please contact us for upgrade purchases.



  24. What version of ActiveBooks am I licensed to use?

    When you purchase ActiveBooks, your license is valid for any version with the same major version number or the next. For example, if you purchased version 14.2, you are eligible to use (free of charge) any version 14 or version 15 release, but not a version 16 release.

    Simply install the new release "over the top" of your existing installation. All your reports and settings will be preserved.

    Absolutely! ActiveBooks has passed the Windows 7/8 compatibility tests and has earned the Compatible with Windows 7/8 designation from Microsoft.

    No. ActiveBooks will only work on Windows. There is no version for the Macintosh.

    Absolutely! ActiveBooks works very well with QuickBooks Enterprise (11.0-14.0) and Premier/Pro (2010-2014) - U.S. and Canadian Versions.

  33. Does ActiveBooks work with QuickBooks Point of Sale (POS)?

    No, ActiveBooks does not work with QuickBooks Point of Sale (POS). ActiveBooks works with the "regular" desktop version of QuickBooks intended to manage your company's finances.



  34. Does ActiveBooks work with QuickBooks Online?

    No, ActiveBooks does not work with QuickBooks Online, where you record your financial data "in the cloud". ActiveBooks only works with the traditional desktop version of QuickBooks.



  35. Does ActiveBooks work with non-US versions of QuickBooks?

    • Canadian: Yes

      ActiveBooks fully supports the Canadian versions of QuickBooks. We routinely test the Pro, Premier and Enterprise Solutions editions and can confidently say that ActiveBooks is fully compatible with the entire Canadian family.

    • Australian: Maybe

      A handful of our customers use ActiveBooks with the Australian versions of QuickBooks so we know that the "basics" work. However we have not done any testing at all on the Australian versions.

    • UK: No

      Unfortunately ActiveBooks probably won't work well with the UK versions. We've never actually tested with a UK version but we strongly suspect that the ActiveBooks-generated reports would show dollar signs instead of pounds, etc.

    Note that we have no plans to venture into the non-US markets at this time. That is, the situation described above is unlikely to change.



  36. What does <this error> mean?

    The Errors Page lists common problem situations and offers suggestions for how to remedy them.



  37. ActiveBooks suddenly stopped working. What happened?

    First, consult this entry if you have upgraded or re-installed QuickBooks or ActiveBooks.

    Next, please ensure that you have specified a Windows user account on the Configure ActiveBooks... window, available during the Initial Setup or from the Tools menu. ActiveBooks may need to use that information to communicate with QuickBooks when no one is logged on to the PC.

    If that doesn't help, then in all likelihood QuickBooks has gotten itself in a bind. A reboot will probably remedy the situation, but please send us the following information before you reboot:

    1. The error message coming up when the notification fails;
    2. The contents of the QuickBooks SDK log file, accessible from the Tools menu.

    This information will help us to narrow down the problem and potentially fix the issue in a future version of ActiveBooks.



  38. I have upgraded/re-installed QuickBooks and ActiveBooks no longer works. Help!

    Unfortunately upgrading or re-installing QuickBooks can sometimes break its connection to ActiveBooks. You will need to re-authorize that connection to restore ActiveBooks functionality as follows:

    1. Start ActiveBooks if necessary.
    2. Choose "Configure QuickBooks..." from the "Tools" menu to open the Configure QuickBooks window.
    3. Highlight the appropriate company file.
    4. Click the "Change / Refresh >>" button.
    5. Follow the instructions to re-authorize ActiveBooks (the same procedure you went through to set up your company file).



  39. ActiveBooks keeps saying I am not registered even though I am. How can I resolve this?

    If you have gone through the registration process and your code has been accepted, this is probably caused by a lack of rights when accessing the ActiveBooks registry key (HKEY_LOCAL_MACHINE\SOFTWARE\Core Technologies Consulting\ActiveBooks, or HKEY_LOCAL_MACHINE\SOFTWARE\Wow6432Node\Core Technologies Consulting\ActiveBooks on 64-bit versions of Windows). Please use the "regedit" application to adjust permissions on that key.

    Using regedit:

    1. Navigate to the key on the left-hand side
    2. Right-click on the key and select "Permissions..." to bring up the permissions window
    3. Add your account with full control



  40. How do I turn on "Verbose Mode Logging" in QuickBooks?

    In ActiveBooks version 14.1 and later, you can easily turn on verbose mode from the Tools menu:

    To turn on verbose mode logging in earlier versions of ActiveBooks (as described in point #10 in this SDK troubleshooting post):

    • Go to C:\Documents and Settings\All Users\Application Data\Intuit\QuickBooks on Windows XP/2003 or C:\ProgramData\Intuit\QuickBooks on Windows 8/7/2008/Vista.
    • Edit the qbsdk.ini file. If you can't find the file, or directory do a Start > Run > "C:\Documents and Settings\All Users\Application Data\Intuit\QuickBooks" and then edit qbsdk.ini. If qbsdk.ini is not there, just create it.
    • Add or modify the following lines:
      [Log]
      Level=verbose
      UnlimitedSize=Y
      [Parser]
      DumpRequestData=Y
      
    • Restart QuickBooks and run your program.

    When you are all done debugging, don't forget to restore the settings in qbsdk.ini to:

  41. ActiveBooks stopped working after I upgraded to QuickBooks 2013. Help!

    If you have QuickBooks 2013 and find that ActiveBooks is consistently failing to generate reports, it is probably because QuickBooks is staying open too long and interfering with ActiveBooks as it tries to schedule notifications. To prevent that from happening, please:

    • Start QuickBooks
    • Switch to Single-user mode, if necessary
    • Select Edit > Preferences... to bring up the Preferences window
    • On the left, select the General item
    • On the right, select the My Preferences tab
    • Un-check the Keep QuickBooks running for quick startups box
    • Click OK to save your settings



  42. Where do I find the QuickBooks SDK Log File?

    The QuickBooks SDK Log File captures details of the interaction between QuickBooks and third-party applications like ActiveBooks. The file can provide valuable information when troubleshooting technical problems, and not to worry - it doesn't reveal sensitive financial information nor passwords!

    The file's location depends on the version of QuickBooks you are using:

    • QuickBooks 2008 and later: C:\Documents and Settings\All Users\Application Data\Intuit\QuickBooks\qbsdklog.txt
    • QuickBooks 2007 and earlier: C:\Program Files\Common Files\Intuit\QuickBooks\qbsdklog.txt
